Legal Action of Wisconsin, Inc is hiring a Human Resources Coordinator. The HR Coordinator supports the HR Director and the law firm by ensuring that the talent management and administrative responsibilities of the HR function are achieved in a timely and efficient manner. This is a full-time, salaried position and it is exempt under the FLSA. The HR Coordinator position is will be in Legal Action’s Milwaukee Administrative office.

Flexible Work (includes remote work and schedule changes:)   Legal Action supports flexible work arrangements that meet the goals of the organization and our employees.  After one year of employment, under the firm’s Flexible Work policy, the Coordinator may request a flexible work schedule.  Given the uncertain nature of the COVID-19 pandemic, the HR Director will determine the Coordinator’s temporary flexible work arrangements until the Coordinator becomes eligible to request a flexible work arrangement under the firm’s policy.  Legal Action will provide the technology and software to be used while the HR Coordinator is working remotely and will provide personal protective equipment when the Coordinator is working in the physical office and while conducting job duties that require face-to-face contact with others. 
 
KEY RESPONSIBILITIES 
Working with the HR Director, other administrative staff, and others within and outside of Legal Action, the Coordinator will: 
  1. Prepare and distribute job announcements; track the recruitment and selection process from job announcement to accepted offer; and update applicants of their status throughout the hiring process.
  2. Coordinate the onboarding of new hires (from pre-employment, Day One, and throughout the employees’ career cycle with Legal Action) and complete the HR components of new employee and intern orientation.
  3. Post job announcements with established recruitment sources, social media sites, and Legal Action’s website and identify new recruitment sources.
  4. Schedule phone, video, and onsite interviews as requested by HR Director and/or hiring managers;
  5. Human Resources Information System (HRIS): 
  1. Serve as back-up to Payroll staff on data entry of employee personnel actions into the HRIS, including both new hire set-up and employee change/update transactions and notifications;
  2. Develop and update content;
  3. Develop and generate reports or queries from the HRIS and analyze and audit those reports and queries;
  4. Plan, organize, and develop support tools and training to help employees navigate the HRIS system, such as distributing user guides and providing training to staff on the HRIS system;
  5. Confirm eligibility for employee benefit enrollment changes by reviewing supporting documents, ensuring the completeness of documents, and advising the employee if additional documentation is required for processing and coordinates benefit program transactions within the HRIS.  These will include: approval or denial of all benefit enrollment requests for new hires; status changes; life events; and termination of benefits; and
  6. Provide feedback on the HRIS processes and portals (benefit, onboarding, applicant tracking, employee forms, compensation, and performance management) and work with the HRIS service provider to test and implement changes to ensure the accuracy of the processes, easy navigation, access to information, and timely notifications to users.
  1. Oversee the annual Open Enrollment process for the firm’s various benefit programs, including:
  1. Develop and test the benefits portal;
  2. Update premium rates;
  3. Prepares and distributes Open Enrollment communication and instructions for staff; and
  4. Audits employee participation and benefit selection for accuracy before transmitting enrollment records to insurance carrier.
  1. Receive and respond to requests for employment verifications, public service loan certifications, and the like.
  2. Maintains and updates Legal Action’s organizational chart.
  3. Schedules, coordinates, and attends career fairs and recruitment events (for regular staff and interns) including both in-person or virtual events.  Maintains and posts LAW’s career fair calendar on the firm’s Career website page.
  4. Assists with compliance requirements (e.g. legal posters, notices, etc.), recordkeeping, and reporting (e.g. EEO, workforce demographics for grant applications and compliance, AAP, etc.).
  5. Occasional travel, including some overnights, to Legal Action’s offices may be required.  Occasional overnight travel outside of the state may also be required. 
  6. Performs additional job duties as necessary. 
QUALIFICATIONS
  • Education:  Bachelor’s degree in a relevant field is desired.  Associate degree will be considered, especially when it is paired with relevant experience and specific education and training in human resources management.
  • Required: 
    • Minimum of two years’ human resources or administrative assistant support work experience.  Examples may include but are not limited to candidate recruitment and selection, employee benefits administration, or coordinating HRIS functions.
    • Excellent organizational skills, accuracy in completing work, and precise attention to detail.
    • Ability to set and meet deadlines and manage multiple projects at once.
    • Ability to present information correctly and concisely to all levels of employees individually and in groups.
    • Ability to be flexible, including occasional evening and weekend work hours, and to adapt to constantly changing needs and priorities.
    • Ability to maintain the confidentiality of employee information and payroll records and to respect the confidential nature of information and concerns received by the HR team.
    • A valid driver’s license must be maintained throughout employment. 
  • Desirable:
    • Knowledge and understanding of recruitment sourcing tools, resume databases, and online communities (i.e. social media.)
    • Knowledge of payroll and employee orientation and onboarding.
    • Customer service skills. 
PHYSICAL DEMANDS AND WORK ENVIRONMENT
This position involves sedentary work, including sitting at a desk on a computer for an extended period. While performing the duties of this job, the employee is regularly required to: use both hands; frequently required to stand, sit, stoop, talk and hear (communicate verbally in person and via telephone); and read computer screens, correspondence, and reports. The employee may occasionally lift and/or move up to 20 pounds.
 
Specific vision abilities required for this job include close vision for computer monitor work.
Drives a motor vehicle while seated for extended periods of time occasionally. Occasional reaching, bending, kneeling, and stooping involved to retrieve various items and materials. 
 
The job is generally performed in an environmentally controlled office environment. The noise level in the office is usually quiet, consisting of normal conversations, office equipment (copiers, printers and, scanners) and telephones.  On occasion, the noise level may be above normal for portions of the workday. The employee must be able to concentrate on details, work under deadline pressures, apply sound logic and judgment, and prioritize tasks. Must be able to focus and multi-task in a busy environment and successfully handle stressful situations in a calm and professional manner.
 
SALARY AND FRINGE BENEFITS
Starting salary depends upon experience and qualifications with a range from $38,000 - $48,000 annually.

Legal Action also provides life and long-term disability insurance, a profit-sharing retirement plan, salary deferral options for retirement planning, low-cost employee paid vision coverage, four weeks of vacation per year, four days of personal leave, and a generous sick leave accrual rate.  Legal Action also provides four weeks of paid parental leave for eligible employees.  
 
GOVERNANCE
This position is subject to a probationary period of one year.  The length of the probationary period may be extended by Legal Action. 
 
Barbara Henry, Director of Human Resources, is the hiring manager and will supervise the HR Coordinator position.
